DP Systems and Technology LLC, doing business as Daniel IT Services, is a limited liability company organized under the laws of Georgia, USA. We provide a multi-tenant SaaS platform that enables local service businesses — such as barbershops, salons, nail studios, and massage parlors — to offer automated appointment scheduling through the WhatsApp Business Platform (Cloud API).

2. Our Role (Controller vs. Processor)
Our platform serves two distinct groups, and our role differs for each:
- For Business Customers: We act as a data controller with respect to the account and billing information you provide to us when you sign up and use our platform.
- For End Users (Consumers): When a consumer sends a WhatsApp message to a business that uses our platform, the business is the data controller and we act as a data processor (service provider) processing data on behalf of that business. The business determines why and how end-user data is processed. We process that data solely to provide the scheduling service as instructed by the business.

3. Information We Collect
3.1 Information from Business Customers
- Business name, owner name, email address, and phone number
- Billing and payment information (processed through our payment provider)
- Business configuration data: services offered, pricing, staff availability, and business hours
3.2 Information from Meta / WhatsApp
When a business connects its WhatsApp Business account through Meta's Embedded Signup flow, we receive and store:
- WhatsApp Business Account ID (WABA ID)
- Phone Number ID
- Access tokens (encrypted at rest)
- Business display name
3.3 Information from End Users via WhatsApp
When an end user sends a WhatsApp message to a business using our platform, we process:
- WhatsApp phone number
- WhatsApp profile name
- Message content (text messages exchanged with the scheduling assistant)
- Appointment details: selected service, preferred date, and time
3.4 Technical Data
- Server logs (IP address, request timestamps, HTTP method)
- Basic cookies necessary for website functionality (see the Cookies section)
4. How We Use Your Information
We use the information described above to:
- Provide, operate, and maintain the appointment scheduling service
- Receive and respond to WhatsApp messages on behalf of the business
- Schedule, confirm, and send appointment reminders to end users
- Process payments and manage billing for business customers
- Provide customer support
- Detect, prevent, and address security issues, fraud, or technical problems
- Comply with applicable legal obligations
5. AI Processing
Our platform uses artificial intelligence to understand incoming WhatsApp messages and generate conversational responses for appointment scheduling. Message content is sent to a third-party AI provider (currently Anthropic) in order to generate appropriate replies.
Important: We do not use end-user message data to train our own AI models or any third-party models. The AI provider processes messages solely to generate a response, in accordance with their data processing terms.
6. How We Share Information
We share personal information only in the following limited circumstances:
- With the Business Customer: End-user data (appointment details, messages) is accessible to the business on whose behalf we process it.
- With Sub-processors: We use the third-party service providers listed below to operate our platform. Each sub-processor is contractually bound to use data only for the purposes of providing services to us.
- Legal Obligations: We may disclose information when required by law, regulation, legal process, or governmental request.
We do not sell personal data. We do not use data obtained from Meta's platforms for advertising purposes or to build independent user profiles.

7. Compliance with Meta Platform Terms
We comply with the Meta Platform Terms, Meta Developer Policies, and WhatsApp Business Policy. In particular:
- We use data received from Meta APIs solely to provide and improve our scheduling service. We do not transfer, sell, or license this data for purposes unrelated to our application.
- We do not use Meta platform data for advertising, data brokering, or to create independent profiles of users.
- We store access tokens securely (encrypted at rest) and limit access to authorized personnel only.
- If Meta requests us to delete data obtained through its APIs, we will comply promptly.
- We provide clear data deletion mechanisms as described in our User Data Deletion Instructions.
8. Data Retention
We retain data only as long as necessary for the purposes described in this policy. Our specific retention periods are:

9. Security
We take reasonable administrative, technical, and physical measures to protect the information we process, including:
- All data in transit is encrypted via HTTPS / TLS
- Meta/WhatsApp access tokens are encrypted at rest
- Tenant-level access controls ensure that each business can only access its own data
- Access to production systems is restricted to authorized personnel
While we strive to protect your personal information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.
10. Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal information, including the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Delete your personal data (see our Data Deletion Instructions)
- Object to or restrict certain processing of your data
End Users (Consumers): If you no longer wish to receive WhatsApp messages from a business using our platform, you can reply STOP at any time. The automated assistant will immediately stop sending you messages. For data access or deletion requests, please contact the business directly or reach out to us at info@atlantaitpro.com.

11. Children's Privacy
Our service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete that information as soon as possible. 12. Cookies
Our website uses only essential cookies that are necessary for the website to function properly (e.g., session management, language preferences). We do not use advertising or tracking cookies. Because these cookies are strictly necessary, no consent banner is required.

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this page periodically.
